Job Vacancy - Project / Admin Assistant

The EU-funded "Support to the Employment and TVET Reform in Jordan" Project is a 22 months project focusing on providing technical assistance to Jordan's key stakeholders to reform the employment and technical and vocational education and training (TVET) system. The project will be implemented by a consortium consisting of GOPA Consultants (Germany), Ecorys (Netherlands), SQA (UK) and Dajani Consulting (Jordan) with GOPA Consultants as the lead firm.

The project intends to contract a full-time project / admin assistant for the project team that will consist of four key experts and various short-term experts. The project will be located in Amman and its duration will be from January 2013 until end of October 2014.

Purpose of the Job
Assisting the Team Leader and Key Experts of the "Support to the Employment and TVET Reform" Project in Jordan in the implementation of the project and manage the local office administration and resources.

Qualifications of the secretary / project assistant

• Degree in office management or related studies
• Excellent command of MS office software and use of internet (mail administration)
• At least 3 years experience in office organisation, administration and management incl. office organisation, filing, etc.
• Very good communication and personal skills.
• Fluency in Arabic and English, both written and spoken.
• Experience in reporting and documentation of discussions (minutes).
• Project experience in the context of education and training would be an asset.
• Project experience in donor funded projects would be an asset.
• Must hold Jordanian nationality.

Scope of activities
Within the implementation period of the Project (starting from mid-January 2013 till 31 October 2014) the project / admin assistant will provide on-going support to the project management team and the local and international key experts.

Within this task (s)he will cover in a responsible way and professional manner following scope of activities:

- Assist the Team Leader in communicating with various parties involved in the project (telephone calls, appointments, keeping the agenda, organising meetings, interpreting, translating, documentation).
- Assist the Team Leader in setting up and maintaining the administration of the project
- Assist the Team Leader in communication and reporting
- Assist the project team in setting up and managing seminars, conferences and workshops .
- Maintain a critical view of the project's progress and logistics; share this view with the Team Leader on a regular basis.
- Assist the project Team Leader in creating an office infrastructure: ordering materials, hardware and software, and office supplies.
- Make translations of all kind of documents, related to the project (English - Arabic and vice versa ).
- Keeping records of worked time and outputs (timesheets key and non-key experts).
- Prepare information sets (educational materials, travel information) for short-term experts, involved persons and institutions and participants of other project activities e.g. seminars.
- Carry out any other tasks defined in consultation with the Team Leader and/or the key experts.
- Facilitate assignments of international and local short-term experts.
- Assist in all IT related activities.
- Establishing and maintaining a filing system.

Place of activity will be the Project office at the Ministry of Labour. In case of project activities outside Amman e.g. visits, seminars and workshops in other parts of Jordan, the project assistant could be asked to be present for a defined short period of time.
